How do I perform an MSF now that OLAT has been suspended?

MSFs will now be carried out using a specialist 360 Appraisal/MSF tool from Clarity Informatics. We expect to make MSFs available early January 2019. All HSST and STP trainees will be notified when this service goes live.

Where is the evidence I uploaded to OLAT?

It is only the record of your achievement in OLAT that has been migrated to OneFile, not the evidence that you submitted. Therefore, your evidence is still held in OLAT. You are still able to download it from OLAT should you wish to access it. The evidence does not need to be uploaded to OneFile, but you are free to store it in OneFile should you wish to.

Where are my draft competencies and assessments?

Any competencies and assessments that were in ‘Draft’ mode as of 21 September will need to be recreated and submitted in OneFile.

What do I do with competencies and assessments that were submitted but not signed off before the 21 September deadline?

Any competencies and assessments submitted in OLAT that were ‘Ready for Review’ as of 21 September will need to be recreated and submitted on OneFile.

Where are my competencies and assessments that were signed off on OLAT but I did not ‘Accept’ them?

Please make a note of the competency/assessment codes for all submissions that are ‘Reviewed – Satisfactory’ but not ‘Accepted’ on OLAT. I have an additional or new supervisor. How can I add them so that they can see my portfolio?

Please use the ‘Request New Training Officer/Supervisor’ form which you can find under the ‘Forms’ tab on your ‘My Portfolio’ page. This allows you to submit a request to the National School to add the additional supervisor to your portfolio.

I am missing one or more modules in my portfolio.

If you are training in a specialism with module options, please use the ‘Optional Module Confirmation’ form which you can find under the ‘Forms’ tab on you’re ‘My Portfolio’ page. Have my assessors from OLAT been transferred to OneFile?

No. Only your training officer has been transferred into OneFile. You can nominate a new assessor when you are ready to make a new submission in OneFile. To do so, you click ‘Change Assessor’, then select ‘Invite New Assessor’ from the drop-down list in the signature area at the foot of your new submission.

Do I still have access to OLAT?

Yes. Your OLAT account is still active in Read-Only mode. You can download your OLAT portfolio in PDF and access your competencies, DOPS, OCEs, CBDs, MSFs and reflections (along with attachments) directly from your Portfolio area.

For how long will I have access to OLAT?

We do not expect to take OLAT offline until September 2019 at the earliest. This is subject to change.

I have now decided my Medical Physics or Engineering or Cardiac Science pathway.  How can I work within those specialist modules?

Please let us know your specialism choice using the ‘Confirmation of Specialism’ form which you can find under the ‘Forms’ tab on your ‘My Portfolio’ page.

I have the option of several different rotations, and I don’t see them on OneFile. How can I let the National School know which rotations I will be studying?

My progress on OneFile does not match to what I completed on OLAT.

Where are the sliding scales for DOPS, OCEs and CBDs?

OneFile currently does not support the sliding scale domains for assessors. Please attach a blank assessment proforma to your DOPS, OCEs and CBDs when submitting them for sign-off. These are found in the Resources section of your account (on the blue menu on the left). Your assessor should attach a completed copy when they sign off.
